Quick Guide to Formatting in Microsoft Word
Copy & Paste:
CTRL + A = Select All (Highlight)
CTRL + C = Copy
CTRL + V = Paste
CTRL + Z = Undo - (To undo your last action.)
CTRL + Y = Redo - (To redo what you just undid.)
CTRL + B = Bold
CTRL + U = Underline
CTRL + I - Italics
Double Spacing - To double or single space:
Step A. CTRL + A = Select All (Highlight)
Then select either step:
Step B. CTRL + 1 = Single Space
Step C. CTRL + 2 = Double Space
Additional Shortcut Keys:
CTRL + X = Cut
CTRL + S = Save
CTRL + P = Print
F7 (Function Key) = Spelling & Grammar Check
Formatting Images:
Using Header and Footer:
Copy & Paste:
- Locate the image you wish to copy from a website.
- Right click on the image/object, choose Copy (You will not see anything happen. The image is copied to the Clipboard)
- Open your Ms Word Document.
- Right Click, select Paste to paste the image from the Clipboard to your document.

Formatting Images:
- Click the Image once so the display handles appear in each corner.
- Above in the Ribbon/ToolBar your Formatting menu will appear.
- Click Text Wrapping & select Behind Text.
- Click & drag to move your image/object to your desired location in your document.
Using Header and Footer:
- Click Insert in the Ribbon/ToolBar, Choose Header or Footer.
- Choose Edit Header/Edit Footer from the drop down menu.
- Double click inside the area (Header/Footer) type your text there.
- Double click outside of the area to exit Header/Footer to return to the body of the document.
- Click Page Layout in the Ribbon/ToolBar Choose Page Borders
- Go to the Page Border or Borders Display Tab.
- Select a Style, Color and width and then click the OK Button.
